    SENIOR ACCOUNTS RECEIVABLE SPECIALIST - PLYMOUTH MEETING

    The Senior Accounts Receivable Specialist will be a part of the global billing and collections team reporting to the Accounts Receivable Manager and is responsible for the preparation of customer analyses, contractual reconciliations and month-end account receivable reporting procedures utilizing accounting and analytical skills.  This position will also be assigned to complex and key customer portfolios and play a key role in all aspects of the order-to-cash cycle including but not limited to customer collections.

    Responsibilities

    • Ensure accurate and timely billing for a specified customer portfolio. Work with delivery teams to be informed of project milestone delivery dates or project status changes. Deliver invoices according to customer instructions (mailed, uploaded to portals, purchase order references, email distributions). Utilize and maintain the multiple customer portals to ensure invoices are approved on time. 
    • Complete and manage all customer set-up requirements including the requested forms, tax documents, registration and management of customer portals and banking information in accordance with the internal and external system(s) requirements.
    • Proactively pursue and manage the collection efforts of the customer portfolio while maintaining notes on collection status and providing period updates to and requests for escalation, as needed, with the Accounts Receivable Manager. Collection efforts will include ensuring adequate analysis of historical data, system records, and past collection efforts with a thorough understanding of customer collection procedures is performed prior to initiating contact and through the resolution of collections with follow-up on all inquiries/requests of 3-5 days after initial requests.
    • Maintain reconciliations, including contractual budgeted versus actual billings for all customer projects. Utilize reconciliations to ensure projects stay within agreed budget parameters and are updated for new contracts or amendments throughout the project’s timeline summarized by billing category. Ensure reconciliations are proactively prepared for upcoming decommissioning projects.
    • Research through to completion and resolution with effective, interactive communications all accounts receivable inquiries from group email inboxes and cross-functional teams (including Client Services, Contracts, and Sales Teams) while informing and coordinating Contracts and Finance team members.
    • Compile, summarize and present deliverables of the monthly reporting process to the Accounts Receivable Manager and Finance members including: metrics of key performance indicators including billing backlog status, billing forecasts, accounts receivables reconciliations, customer aging reports and analyses, journal entries and cash flow forecasts for all entities.
    • Prepare special project analyses and assist in additional assignments to address requests as directed by various Finance members or other senior department members. Prepare periodic future billing projections for certain customer requests requiring research of all applicable signed contracts and out-of-pocket/pass-through expense trends. 
    • Resolve unidentified payments and or master data issues, when needed initiate and prepare client refund forms.
    • Perform the monthly review of the out-of-pocket/pass-through expenses prior to billing ensuring project specific knowledge and corrections are addressed.
    • Maintain and seek to improve processes and system efficiencies, including strengthening reporting, internal controls and collaborating with Finance, Contracts and Client Service teams to ensure procedures are consistent, compliant and allow efficient and timely reporting.
    • Analyze, recommend, and support ERP system(s) implementations and changes including assisting with periodic system upgrade testing and reconciling data with migration to new ERP revenue and billing modules.
    • Backup the Accounts Receivable Manager whenever and however needed in order to support the accounts receivable team as a whole.

    Requirements

    • BS/BA in Business, Accounting or Finance, preferred
    • 3-5 years of demonstrated thorough understanding of billing concepts and experience in a billing accounting software, extracting and formatting data exports and managing organized paperless records; NetSuite ERP knowledge is preferred, but not required.
    • 2+ years of Contract Research Organizations/Pharmaceutical industry experience related to billing, collections, review of contracts.
    • Solid skills with programs: Microsoft Office’s Excel and Outlook and Adobe Acrobat.  Proficiency in Microsoft Office, including Excel and Outlook; intermediate to advanced computer skills in Excel, with ability to perform pivot tables, VLOOKUP’s, Sumifs, and other advanced functions
    • Proficiency with a medium to large scale ERP system, NetSuite preferred
    • Demonstrated ability to pay close attention to details with excellent accuracy, organization and completeness and adhere to strict deadlines
    • Problem solving skills are necessary in order to identify and resolve discrepancies
    • Apply time management skills to complete various duties and a daily workload
    • Strong interpersonal and communications skills for working with staff both in and out of the accounting function and with employees in remote locations
    • Ability to work efficiently in a dynamic, fast paced team environment
